Terms and Conditions


We would like to remind you to make your reservations well in advance to avoid not being able to stay in the hotels of your choice and having to change your travel plan.

Bookings / Confirmations
Bookings can be made by phone or e-mail. Upon your request, an offer can be made regarding your wishes. Our offer is without any obligation and free of charge. The following information is required for making a reservation:

  • names of passengers (as mentioned in passport)
  • passport numbers
  • children’s date of birth
  • home address
  • telephone number
  • flight information
  • travel scheme/hotels/car rental/tour

Names should be sent correctly at the time of booking. Name changes afterward will be charged. After receipt of our request, you will receive an answer within 48 hours – informing you about the status of your request. Confirmations will be sent to you by e-mail. The invoice will be sent by regular mail and/or email after confirmation. Please refer to invoice number upon payment.

Prices are per person unless otherwise specified. Price quotations may change due to exchange rates or a change in reservations. Depending on your request, prices for an offer may or may not include cost for visa, transfers, guide services, personal expenses, tips, food and drinks (non-alcoholic/alcoholic), excursions, city sightseeing, entrance fees, and local guides. Never included in your offer are telephone calls, minibars, laundry costs & departure tax.

Payments can be effected to our bank account or paid in cash at our office or credit card. Payment for are to be deposited on the account not later than 4 weeks before the departure date. If the payment has not been received on the account 4 weeks prior to departure, Cuba Incentives has the right to cancel your reservation. Last minute bookings must be paid immediately upon receipt of the invoice. Payment by credit card is done by phone, clients will have to authorize Cuba Incentives to charge the credit card, this is being done with a contract that clients have to sign and return to Cuba Incentives. After this, Cuba Incentives will contact the clients to gather all the credit card details in order to charge the credit card. credit card payments are being handled by EMS (European Merchant Services).

Travel documents
Tickets will be sent by registered mail or email depending on the kind of ticket (e-ticket or written ticket). For last minute bookings, tickets can be picked up at the airport. There will be an extra charge for this pick-up service. Travel documents (vouchers/visa/travel information) will be sent by email after full payment of the invoice.

Cancellation & modification conditions of bookings that are finished:

If a booking is fully confirmed to the customer, and a change is requested, there will be a 15$ modification fee, everytime a change is made.
One request to change two things, is counted as one change (thus 15$). Two seperate requests to change one thing, is counted as two changes (thus 2 x 15$).

Cancellation & modification conditions of rental cars

Cubacar / Havanauto

For cars with a pick up OUTSIDE of Havana

Once the rental car has been confirmed the cancellation fees will apply.

60 to 30 days prior to departure25% of the rental car amount
29 to 16 days prior to departure50% of the rental car amount
15 to 0 days prior to departure or NO SHOW100% of the rental car amount

Changes in the name of the driver, or the pick up / drop off dates / locations are NOT allowed.
The rental car will be cancelled – with the fees mentioned above – and will be rebooked and charged again.

For cars with a pick up IN Havana

Once the rental car has been confirmed the cancellation fees will apply.

Refunds / Claims
Claims due to failing of requested services should be passed on immediately to our local representative. Refunds will only be paid if the claim is well founded and confirmed by our representative and approved by our agent in Cuba. In case you have made expenses due to failure of services we would need the original receipts/bills with a covering letter within 4 weeks after return date. Claims for missed transfers/hotel stays during the trip because clients were not at the appointed location and time will not be refunded.

Cancellation and/or change of Tours
We reserve the right to cancel any tour before departure for any reason at all with or without prior notice if we consider this in the best interest of the client. The client has the right to make the tour at another time – unless the price value remains the same, or the amount paid by the client will be refunded in total, without further obligation or liability of Cuba Incentives. We reserve the right to amend, alter, vary or withdraw any particular departure; excursions advertised or substitute a hotel of similar class if deemed necessary. For the convenience of our passengers, we will sometimes amend the itinerary. However, all services will remain the same. The company reserves the right to alter the order of the itinerary. The same will be informed to the client before departure or upon arrival at the airport. Cuba Incentives cannot accept any liability or responsibility for any changes as mentioned above.
